eM Client uses Artificial Intelligence to help you write, read, search and organize your mail. In
earlier versions AI was limited to composing and rewriting text; from eM Client 11 onward there
is a wider set of features, including an AI Assistant, summaries, natural language search and
rule creation, and automatic suggestions in the message detail.
The current Provider of AI for eM Client is OpenAI.
In this article we’ll explain how the AI features work, when data is
sent to the AI provider, and how to turn any of it off.
How does AI in eM Client work?
There are only two types of AI action in eM Client, and the difference matters
for your privacy:
-
On-demand (explicit) features – nothing is sent anywhere until you
do something: click a button, open a tool, type a prompt. If you never press the button, no
data leaves your computer.
-
On-display features – these run when a message is displayed, so the content
of the message you’re reading is sent for analysis without a separate click.
Here’s how the individual features divide up – click any feature to jump to its description:
Is AI in eM Client secure?
The information used for text generation, analysis or editing is sent only to the AI provider
and is not stored or logged by eM Client anywhere.
We will always do our best to protect your data and privacy as much as possible.
On-demand features send data only after an explicit user action – clicking
Reply with AI, Summarize, or the AI button, opening the AI Assistant,
running a natural language search, and so on. eM Client will never collect and send content of
your messages anywhere on its own for these features.
On-display features work differently. Quick reply buttons and task/event detection need to
look at a message in order to suggest anything, so when you open a message, its content is sent
for analysis. This happens for the message you’re currently viewing – eM Client does not scan
your mailbox in the background.
If you’d rather not have anything sent automatically, you can disable the on-display features
individually and keep only the on-demand ones, or turn off AI entirely. Instructions are
below.
On-demand AI features
These features do nothing until you ask for them:
-
AI Assistant
eM Client: AI Assistant
The AI Assistant lives in the sidebar, accompanies you through all sections of the app,
and understands natural language, so you can simply tell it what you need. It can find
and open emails using virtually any criteria, manage your mailbox with actions like
flagging, pinning, moving or organizing messages, draft replies, and look up additional
information online. It can also help prepare complex or mass emails by gathering and
organizing the information you need.
You can save your favorite prompts, adjust the level of effort to match the task, and
choose which AI model the Assistant uses. Read more on the
AI Assistant page.
-
Reply with AI
eM Client: Reply with AI options
Use the Reply with AI button to instantly draft a response to the selected
message. The program will take the content of the selected message and use it as a base
for the reply – but you can set certain specific commands on what the reply should
include.
A general response will acknowledge the points raised in the original email, but you can
also specify that you need to draft a Thank you email, indicate that you are
not interested in the items or events mentioned in the message, inquire for
more details or explain that the message needs to be sent to someone else.
Once you draft a reply you can of course still make corrections before hitting the
Send button.
-
AI Writing Composer
eM Client: AI Writing Composer in the compose
window
The AI writing assistant sits directly inside the compose window, so you can get help
with your message without ever losing your place. The AI button works in
two ways, depending on whether you have any text selected.
Writing something new. Click the AI button without
selecting anything and eM Client suggests what you might want to write – a message, an
announcement, a request for information and more. Pick one of the options, or ignore
them and write your own prompt instead.
Changing text you already have. Select part of your message with your
mouse first, then open the AI button submenu. There you can shorten or
lengthen the selected text, proofread it, rephrase it, change its tone, or rewrite it in
first person.
Once the text is generated you can of course still make corrections before hitting the
Send button.
-
AI Summarize
eM Client: AI Summarize
Skip the long read. Click the Summarize button in the subject line of any message
to get a quick overview of the main points – whether it’s a single email or a whole
conversation – so you can catch up in seconds instead of scrolling through every reply.
Nothing is summarized until you click, but the button sits in a box in the message
detail that can’t be hidden from the toolbars. It therefore has its own switch in
Settings > Artificial Intelligence > Features if you’d rather not see
it at all.
-
Natural language search
eM Client: Natural language search
Open it from anywhere in the app with Ctrl + Shift + U or via Tools >
Natural language query, then describe what you’re looking for by typing a normal
sentence. eM Client will convert your request into the appropriate search keywords using
AI.
-
AI rule creation
eM Client: AI Rules
Describe the result you want in your own words and AI will create the rule for you using
the available options, instead of you assembling the conditions and actions by hand.
-
Write in my style
eM Client: Write in my style settings
Set up personalized AI writing that actually sounds like you for each of your accounts. Tell eM Client a bit about
yourself and how you write, or let AI generate the description for you and learn your
style from your sent emails. Every AI-generated draft or reply will then match your
voice and tone, include information you specify, or use a specific type of links or
formatting you set in the instructions.
Both steps are explicit: the Generate About me option and the analysis of your
sent messages only run when you start them from Settings >
Artificial Intelligence > Compose. Your sent mail is never analyzed unless you ask
for it.
On-display AI features
These run when a message is displayed. Each one can be turned off separately in Settings
> Artificial Intelligence > Features.
-
eM Client: Quick reply buttons
AI analyzes the message you’ve opened and generates helpful reply buttons - click the
one that you want to go with and it will be used as a prompt for the generated reply.
-
Task and event detection
eM Client: Create task or event from message
preview
eM Client can detect relevant information in the message content and offer to create an
event or a task straight from the message detail panel – scheduling with a single click,
without retyping dates, times or details.
How to turn off AI
Option 1: Turn off all AI features
You can disable or enable Artificial Intelligence features in menu > Settings >
Artificial Intelligence > General.
Turning off this setting will hide all the AI buttons in the program’s interface so it cannot be
used even by accident, and nothing is sent to the AI provider.
eM Client: Artificial Intelligence settings – General
Option 2: Keep AI on and turn off individual features
If you want AI available when you ask for it but don’t want anything analyzed automatically,
leave AI enabled in General and go to Settings > Artificial Intelligence >
Features.
There you can switch off the three on-display features – Quick reply buttons, task detection and
event detection – so nothing is sent when you open a message, while the on-demand features
remain available for when you need them. Summarize has a switch here too, because its box in the
message detail can’t be hidden any other way.
The remaining on-demand features don’t need switches of their own: buttons like Reply with
AI can simply be hidden from the toolbars in the relevant toolbar settings if you don’t
want them in your way.
